Privacy Policy

Purpose

This policy establishes the standards of care, conduct, and professionalism for all staff, contractors, and affiliates of Ashleigh & Co. Estate Care Services. It ensures that every client receives compassionate, discreet, and distinguished care in alignment with state regulations and the company’s mission to deliver luxury, estate-style services.

Scope

This policy applies to:

  • All employees, caregivers, companions, and administrative staff.

  • Services delivered to private pay, Medicaid, and long-term care insurance clients.

  • Both in-home care settings and group-home/estate placements facilitated by Ashleigh & Co.

Policy Statement

Ashleigh & Co. is committed to:

  • Safety & Dignity: Protecting the health, safety, privacy, and dignity of every client.

  • Compliance: Operating in full compliance with Texas Health & Human Services Commission (HHSC) rules, Medicaid requirements, and applicable federal regulations.

  • Excellence: Delivering luxury-standard, personalized services designed for discerning clientele.

  • Confidentiality: Safeguarding all client information in accordance with HIPAA and state privacy laws.

Standards of Care

  1. Individualized Service Plans

    • Each client shall have a personalized service plan developed prior to service initiation.

    • Plans will reflect the client’s preferences, medical/non-medical needs, and family input.

  2. Minimum Service Requirements

    • Private pay services require a 4-hour minimum per visit.

    • Medicaid and insurance-covered services will follow program requirements.

  3. Professional Conduct

    • Staff shall maintain a polished, discreet, and professional appearance.

    • Staff shall never accept gifts or engage in conflicts of interest with clients or families.

  4. Client Safety

    • Immediate reporting of incidents, injuries, or safety concerns is mandatory.

    • Emergency protocols will be followed as outlined in the Ashleigh & Co. Operations Manual.

Confidentiality & Records

  • All records (digital or physical) are the property of Ashleigh & Co.

  • Access is limited to authorized staff.

  • Parents, guardians, or clients (when applicable) may request access in accordance with federal FERPA (if educational records are involved) or HIPAA privacy rights.

Staff Training & Compliance

  • All staff must complete orientation, competency checks, and annual refresher training.

  • Staff must sign acknowledgment of policies and procedures upon hire and annually.

  • Failure to follow this policy may result in corrective action, up to and including termination.

Policy Review

This policy shall be reviewed annually by the Administrator or Alternate Administrator and updated to reflect changes in Texas regulations or company standards.
